Certified Mail Return Receipt provides proof of USPS Certified Mail letter delivery. The ‘old fashioned green card’ is quickly being replaced by a the ‘Electronic Return Receipt’ PDF file that provides delivery confirmation and ‘in-route’ letter tracking authored by The United States Postal Service.

  1. I am trying to check on a certifed mailing, return receipt requested for Case No. A9CV10118. We filed a Complaint and are waiting to see if the Defendant, Butler County Electric, Inc., One Milliken Street, Hamilton, OH 45013 has been served.

    I have used a similar program in the past and like the all-electronic idea. The most time consuming / frustrating part of the certified mail process is having to take the Certified Mail Receipt (PS Form 3800) to the Post Office to have it date stamped for proof of mailing (not proof of delivery). In reviewing your program and several software programs on certified mail, it doesn’t appear that this step has been eliminated.

    Am I missing something? How does the proof of mailing portion work?

    Hello Dianna, you are correct going to the Post Office for just ‘proof of mailing’ can be time consuming.

    Each of our Envelopes includes bar codes to report date and time of ‘in-route’ letter delivery plus the final delivery scan. We activate each certified tracking number when you print it. If you drop your letter into a USPS collection box, the letter is taken to a regional Post Office for high-speed sorting and routing. This is when our electronic tracking bar code would record the date and time of USPS routing and tracking. Many of our clients are comfortable using this as proof ‘the letter is in the mail’ and have USPS electronic date and time scans to back up the transaction.

    Remember USPS Letter Carriers can also accept a Certified Mail letter. Skip the trip to the Post Office and let the Post Office Come to You was the promotional mailer used about 4 years ago. A letter carrier will accept your Certified Mail letter and provide you a receipt on acceptance. We have a number of companies that literally exchange ‘in-bound and out-bound’ mail in office buildings to eliminate trips to the Post Office.

    In general, that’s what the majority of people are doing today – except Tax mailings that face April 15th deadlines! For many people cutting Uncle Sam a check earlier than April 15th is very hard to do.

    say if you lost the green return receipt card, letting you know that the receiver received it and who signed for it. how can you obtain that information. i do have the receipt showing that i payed for it and that it was sent to them. thank you

    Help! I mail alot of Certified Mail and it gets expensive. The Post Offices Green Card is spendy, is there any way to lower the cost and still get the proof of deliver? Thanks, Brenda

  8. Hi Brenda – We suggest using Certified Mail Envelopes with Electronic Return Receipt. This provides proof of mailing, in-route letter tracking and of course the final delivery confirmation authored by USPS for each Certified Mail letter. In addition USPS can even provide you the PDF file of the Signature image if you need it. I would suggest you look at the Certified Mail Envelopes Electronic Return Receipt options to save some time and Money on sending your USPS Certified Mail letters. Then remind your boss how much money your saving the company annually.
